How to Price Your Equipment Rental Correctly
Introduction
The right price is not the highest number you can ask for and not the lowest number that brings a customer. The right price covers cost, protects equipment value, and remains acceptable compared with the market. Professional pricing starts with cost per hour, not only by asking “what is the market price?”
Calculate daily cost
Add operator, fuel, periodic maintenance, tires or tracks, oils, transport, insurance, permits, administration, depreciation, and financing. Then add a reasonable profit margin. After that, compare with the market and adjust for duration and risk.
Different customers, different pricing
A client who pays quickly and works near the machine deserves a better price than a far-away client with late payments. A stable monthly project can be cheaper per day than a one-day request. Sites with strict safety requirements or long waiting time require higher pricing.
Set discount rules
A discount should be given in exchange for something: longer duration, advance payment, nearby location, or low utilization. Do not discount only because the client pressures you. Write price conditions clearly: fuel included or not, working hours, waiting time, transport, and attachments.
Practical points
- Set a minimum price you will not go below.
- Review rates every three months based on maintenance and demand.
- Calculate idle cost: a non-working machine also loses money.
